The short version

What GroupMark stores

All of your working data — class lists, student names, task templates, scanned responses, marks, notes, and tags — lives in a local SQLite database inside the GroupMark data folder on your machine. None of this is transmitted to us or any third party during normal use.

You can back up, move, or delete this folder at any time. If you uninstall GroupMark, your data folder remains unless you remove it yourself.

What leaves your machine

GroupMark makes network requests only in the specific situations listed below. Everything else happens locally.

Feature What's sent Where
Subscription validation Your app store subscription status Microsoft Store
AI suggestions (opt-in) Your blank task template — questions only, no student responses or names Anthropic's Claude API
Email results (opt-in) Student result PDFs, via your own SMTP server Your configured mail server

No other network calls are made. GroupMark does not phone home, check for updates independently of your app store, or transmit usage data.

AI features and Anthropic

AI-assisted features (question region suggestions, marking criteria, and topic tags) are off by default. You enable them in Settings.

When active, GroupMark sends your blank task template to Anthropic's Claude API. This contains only the printed questions — no student responses, no names, no marks. Anthropic's API does not use your inputs for model training. See Anthropic's privacy policy for details on their data handling.

Student work is never sent to the AI. All marking is performed locally.

Email credentials

If you use the email results feature, your SMTP username and password are stored in your operating system's secure credential store (Windows Credential Manager). They are never written to disk in plain text and are not accessible to other applications.

GroupMark retrieves these credentials only when you send results. We never have access to them.

We recommend using an app-specific password rather than your main email password. Gmail, Outlook, and most providers support them — they can be revoked independently if needed.

Name recognition

GroupMark can automatically read student names from scanned papers using on-device machine learning (Windows ML). This processing happens entirely on your machine — no images or text are sent externally.

Analytics and telemetry

GroupMark does not include analytics, telemetry, crash reporting, or any form of usage tracking. We don't know how many tasks you create, how many students you mark, or how often you open the app.

Student data

GroupMark is a tool for teachers. Student data is entered and managed by the teacher and stored locally on their device. We do not collect, receive, or have access to any student data.

Your rights

Because your data stays on your machine, you already have full control over it. You can view, export, back up, or delete your data at any time without contacting us. If you have questions or concerns, email us at hello@groupmark.com.au.

Changes to this policy

If we update this policy, we'll note the change at the top of this page and notify active subscribers by email for significant changes. The full Terms of Use contain additional detail on data handling, AI features, and email sending.
